Moving to Your Next Year or Part
When you progress to the next year or part of your programme, you continue to use the same Portfolio.
Your Portfolio contains the different years or parts of your programme. When you progress, the next year or part becomes your current section of the Portfolio.
Your previous year's work remains within your Portfolio so that you can continue to view your completed work and, where permitted, complete any outstanding activities.
Important: Moving from one year or part to the next does not create a new Portfolio. You continue using your existing Portfolio.
Moving to a new year is different from moving to a new Programme
It is important to distinguish between progressing to the next year/part and moving to a different programme.
Moving to the next year or part: You remain in your existing Portfolio and the next section of your programme becomes current.
Moving to a different programme: This will involve a new Programme Instance being created for you.
For example, progressing from Year 1 to Year 2 of the same programme does not mean that you receive a new Portfolio.

What happens when I move to the next year or part?
When your University progresses you to the next year or part, the next section of your Portfolio becomes current.
Your previous year remains part of your Portfolio, allowing you to refer back to your previous work.
You do not need to create a new Portfolio or transfer your existing work to the new year.
How do I switch between years or parts?
Your Portfolio can contain more than one year or part of your programme.
Use the relevant navigation option within MyProgress to select the year or part you want to view - this is usually from your homepage OR when your next placement in the new year becomes current, you can use the "Current placement" option on your homepage.
You can use this to move between your current year and previous years that remain available to you.
What can I see from my previous year?
Your previous year's work remains within your Portfolio after you progress to the next year.
You can use the previous year to view your completed forms, evidence and other information recorded during that part of your programme.
Some areas may become read-only once the relevant year has ended. This means that you can still view the information but cannot make changes to it.
Why has my previous year become read-only?
Once a year/part has ended, the forms/timesheets and any Progress Views may become read-only.
This allows your completed year's progress to be retained as a record while preventing further changes to the completed year's work/framework.
Being read-only does not mean that your previous work has been deleted. You can still view the information that has been retained in your Portfolio.
Progress View's remain open until your University Administrators restrict access.
Can I still complete a form from a previous year?
If you need to complete a form from a previous year, first switch to that year/part within your Portfolio.
Find the relevant form and check whether it is still available for completion.
If the form is unavailable or read-only, contact your University support team. They can check the form and placement configuration and advise whether any action is required.
What if I have an outstanding form from my previous year?
An outstanding form remains associated with the year/part and placement where it was created.
Progressing to the next year does not automatically mean that the form moves into the new year.

Can I add or change my Progress View from my previous year?
While a Progress View is active, you may be able to map responses as evidence against the relevant areas of your programme. Once a Progress View has been completed/closed, it may become read-only and further changes may no longer be possible.

What happens to my placement when I move to the next year?
Your placement has its own start and end dates and is associated with the relevant year/part of your programme.
If a placement crosses from one academic year or part into the next, the placement dates do not change simply because you have progressed to the next year.
Will my previous year's hours disappear when I progress?
No. Progressing to a new year does not delete the work or hours recorded against your previous year.
Your previous year's information remains part of your Portfolio.
What if my placement is showing against the wrong year or part?
If you believe a placement has been allocated to the wrong year or part, contact your University support team.
What happens to my completed work when I progress?
Your completed forms, evidence and other Portfolio information remain associated with the year/part and placement where they were recorded.
Moving to the next year does not automatically move your previous work into the new year.
This means that you should continue to look in the relevant previous year if you need to find something you completed previously.
What if I move to a different programme?
Moving to a different programme is different from progressing to the next year or part.
If you move to a different programme, your University will create a new Programme Instance for you.

- an outstanding form from a previous year is unavailable;
- your placement appears against the wrong year or part;
- your placement hours do not appear where you expect them to; or
- you have moved to a different programme and are unsure which Portfolio/ePAD you should be using.
When contacting your support team, include the year/part, placement and form name where possible, along with a screenshot of the issue.
